2020 Report

We hope that you are safe and healthy during this time, and wish the best for you and your family.
Because of the ongoing pandemic, the board is unable to set a date for an AGM this year. We are hoping that at some point the COVID-19 numbers will go to 0 by September and then schedule a date.

New Things 2021

In 2022 the board did not raise condo fees, and this was in large part due to an insurance premium decrease of 38%. We still have the same coverage but with the added burden of a large payment.

Over the past 5 years, the board has taken the approach of not submitting insurance claims. This is why you see that in 2020 we were in the red. If we make insurance claims it will catapult our insurance premiums to double, triple, or even quadruple what it was in 2020. Something other condos, cities, and municipalities in Canada have been faced with. We only reserve insurance claims for fire. Continuing this policy in the future will manage our budget much more effectively.

Owners should rely on their unit insurance for things where they are at fault and cause damage to common property or other people’s units. As stated in previous AGMs, you should repair items in your unit like old tubs, seals, and interior unit piping.

Budget for 2023

For 2023 the board began estimating what was required to fund the new budget. Unfortunately, we were met with an increase in insurance premiums due to the cost of everything which increased the value of the property. For this reason, we had to increase condo fees by 5%*. Gas has also become a larger factor in our budget. The board lowered the initial 14% projected increase by taking $35,000 dollars out of the budget. Also new Reserve Fund study 2023 investment also decreased giving us more wiggle room. You should be receiving your budget for 2023 shortly.

Landscaping

This year, the board approved landscaping in three areas: the Clubhouse, the corner of 4-1 where trees were removed, and the back of 7-3, where grass struggles to grow. In various locations, we utilized Rundle Rock, introducing larger stones for added diversity. Additionally, a Blue Spruce was added to 7-3.

Stairs

This year, the board selected Universal Fibreglass for the replacement of aging metal stairs that build wood stairs covered in fibreglass, exactly the like ones they built three years ago at the back of Building 2-1. The fibreglass layer not only enhances grip for safety but also extends the longevity of the wooden structure.

Due to variations in entrance heights across the complex, some buildings have six stairs while others have seven. This difference is caused by the buildings natural settling over time. The next buildings inline to be installed are Building, 6-1 front, 6-2 front, 6-3 front on Nov 20 and Building 6-2 Back, 5-2 Back, 5-1 Back Nov 21. The remainder of building 5 and 3 aim to finish by the end of November, beginning of December weather permitting.

Southampton Green Amenity Policies

All residents must read and acknowledge they understand the terms of use of the Southampton Green amenities. Contact Simco to have your fob activated for access.

Please take the time to review the condominium rules and policies as they are in place for safety and to protect your investment.

It is a privilege to have these wonderful amenities onsite and for the safety and enjoyment of all residents, everyone must follow the amenity rules and policies. Any violation of the Amenity Policies may result in monetary or non-monetary sanctions.

The Clubhouse is for resident use only. Only 2 guest per unit is allowed to accompany residents, and must be accompanied by that resident at all times. Any damage to the amenities spaces or equipment provided by the corporation as a result of violating terms of use will be repairs and charged back to the resident.

Parents/Guardians are responsible to review the amenities policies with minor children.

Skateboards, rollerblades, and dogs are prohibited on the property at all times

The Clubhouse and tennis courts have security cameras and are monitored.

Alcohol is strictly prohibited on the premises

Penalties for Not Following these Rules

Any violations will result in your fob access being deactivated immediately for one (1) month from using the amenities. It is the responsibility of the resident to request reactivation and pay the fees related to reactivating the fob.

If a second violation occurs this will result in a fine being assessed to the unit.

A third violation will result in a permanent removal of your clubhouse access privileges.

Any violation of the condominium bylaws, policies and rules established by the board may result in monetary and non-monetary sanctions such as fines and/or removal of access privileges as determined by the board of directors on a case-by-case basis.

Access

Fobs to access the gym, squash courts, and tennis courts will be deactivated until you have read and acknowledged the policies for each of the amenities offered at Southampton Green.

Once the corporation receives your acknowledgment of the terms of use, fobs will be activated for access.

Southampton Green Clubhouse Policies

The amenities provided at Southampton Green are for residents of the property and a limited number of guests. Please review sections regarding the amount of guests.Guests using amenities at Southampton Green must always be accompanied by a resident.

Residents of Southampton Green are responsible for their guests at all times and any damages to property caused by their guests. Do not vandalize any area of these amenities.

Damage resulting from misuse, theft, or vandalism of any area of the Clubhouse by any resident or guest will be repaired and charged to the owner/resident. Parents/Guardians will be held accountable for any damage, theft, or vandalism caused by their minor and adolescent children.

Library

Southampton Green provides a library for residents to enjoy a quiet reading space and social area. Residents are welcome to take a book for their enjoyment. While this room does not require a fob to access, the corporation will be monitoring. If theft, vandalism, and residents fill this room with unwanted household items and unwanted books we will be reviewing the possibility of adding fob access.

Library terms of use

This room is intended for reading, research, studying, puzzling, or a quiet place to relax with a book/kindle. Please be respectful of others when utilizing the room and maintain a quiet atmosphere.

  1. The library is for resident use only. Guests must be always accompanied by a resident.
  2. Residents are required to leave the library neat and tidy.
  3. Return books to shelves And clean up after yourself. Books are not to be left on the tables, sofa or floor.
  4. Absolutely no food or drink except for water is permitted.
  5. Residents are not to bring their used furniture to the library.
  6. Residents are not to remove the corporations supplied furnishings.
  7. Residents are not to rearrange the furniture in the library
  8. Residents are not to bring boxes of unwanted books to the library and leave them on the floor. Take unwanted genres of books to goodwill, value village, or donate to book sales.
  9. If you want to donate your books to this library, you must first contact Simco Management to get permission.
  10. Children under 14 are not to be left unsupervised.

Genres of books the Corporation will NOT Accept:

  1. Bibles
  2. School text books
  3. Outdated programming books
  4. Encyclopedias
  5. Books of maps
  6. Road maps
  7. Sewing books
  8. Sewing patterns

Genres of books the Corporation WILL Accept:

  1. Mystery
  2. True crime
  3. Love stories
  4. Current fiction
  5. Current non-fiction
  6. History
  7. Autobiographies
  8. Art history

Lower Clubhouse Amenities

  1. Notices are posted at entries to the squash court and gym
  2. Hours of operation 5:00 am to 10:00 pm
  3. Doors must be kept closed at all times
  4. The clubhouse shall not be altered in any way by any person other than personnel authorized by the condominium corporation
  5. This area is for residents only. Guests must be always accompanied by a resident.
  6. A maximum of two guests per household allowed.
  7. Parents are responsible to explain all policies of use to minor children
  8. Do not leave clothing or other valuables in this area. Southampton Green will not be responsible for any lost or stolen items.
  9. No wheeled devices of any kind including but not limited to: skateboards, roller- blades, scooters, bikes

Squash Court

  1. Must be pre-booked online in condo control central. Failure to pre-book online will result in your fob being deactivated for one month.
  2. Clean runners are to be worn at all times when using the squash court.
  3. Squash rackets are only permitted on the squash court. Absolutely no tennis or badminton rackets are permitted on the squash court.
  4. Absolutely no other sporting equipment is permitted on the squash court.
  5. Absolutely no food or drink other than water is permitted on the squash court.
  6. Damages resulting from misuse of the squash court by a resident or guest will be charged to the resident.

Gym

  1. Donated gym equipment of any kind is prohibited
  2. Must be pre-booked online in condo control central.
  3. Use equipment at your own risk.
  4. Only clean foot ware is permitted in the gym.
  5. Proper workout clothing is required to use the gym
  6. Sanitize equipment after use. Sanitizer to be provided by the user.
  7. Return all equipment used to the original position.
  8. Absolutely no food or drink other than water is permitted in the gym.
  9. Absolutely no glass is permitted in the gym.
  10. Horseplay is prohibited.
  11. Children under the age of 18 must be accompanied by an adult at all times and are required to use the equipment in a proper and respectful fashion.
  12. Take all belongings and garbage at the end of your workout.
  13. Damage to any equipment or the gym for misuse by a resident or guest will be fixed and charged to the resident.

Ping Pong Table and Surrounding Area

  1. You must supply your own ping pong rackets and balls.
  2. Absolutely no other rackets or equipment are permitted for use other than ping pong rackets and ping pong balls.
  3. Absolutely no standing, sitting, or lying on the ping pong table.
  4. Absolutely no food or drink is permitted on the ping pong table.
  5. Damages to the ping pong table by a resident or guest will be fixed and charged to the resident.
  6. If space is needed for things like group stretching, Yoga, Tai Chi, then the ping pong table can be folded up and moved aside. You must put the ping pong table back into its working position afterwards. No other aggressive activities should be held in this space.

Bathrooms

Anyone using these bathrooms are to keep this area clean and tidy. Use of the lockers is at your own risk and bring your own lock to secure belongings.

  1. Do not use excessive toilet paper as this clogs the pipes
  2. Do not steal toilet paper or hand paper from these areas
  3. Do not steal or damage any plungers or other cleaning equipment
  4. All garbage must be put into containers provided
  5. Do not dump water on these floors
  6. Do not leave taps running

Outdoor Amenity Area

This area is monitored by security cameras. Parents are responsible to explain all policies of use to minor children.

  1. Rules of use is also posted on the fence of the outdoor amenity area and a copy of the outdoor amenity rules for use is below:
  2. Gate is to be kept closed at all times
  3. Do not prop the gate open with bags, rocks, or any other implement
  4. Hours of operation 9:00 am to 9:00 pm
  5. Courts are for resident use only. Guests must be always accompanied by a resident.
  6. Clean, soft-soled shoes are permitted only.
  7. Fobs are required for access. Parents must accommodate minors or provide fobs for minors to enter. Fobs will be deactivated if the gate is purposely propped opened to allow anyone entry that does not have a fob
  8. No wheeled devices of any kind including but not limited to: skateboards, roller- blades, scooters, bikes
  9. No hockey sticks or pucks
  10. Damage resulting from misuse of the court by a resident or guest will be repaired and charged to the resident.
  11. If approached by management, staff or a director to produce a fob, one must be shown. Failure to produce a fob will result in immediate expulsion from the area.
  12. Absolutely no food or drink except water is permitted in this area.
  13. Absolutely no glass bottles of any kind are permitted in this area.
  14. Do not bring furniture to this area.
  15. Absolutely no chalk is allowed in this area.
  16. Absolutely no hanging off the nets, swinging off the nets, posts, basketball rims.
  17. Leave all rock decoration alone. Do not throw or leave this rock on the court.
  18. Do not move, alter or damage any flowerpot, tree or shrubbery.

Tennis Court/Badminton/Pickle Ball

  1. Tennis court area is for tennis, pickleball, and badminton
  2. Nets are to be returned to tennis level after playing pickleball or badminton.
  3. Four people per court allowed at a time.

Correct sporting equipment must be used at all times depending on the racket game being played:

  1. Tennis rackets and proper tennis balls
  2. Pickleball rackets and proper pickleball balls
  3. Tennis rackets and birdies
  4. No other sports are permitted on the tennis court.

Basketball Courts

  1. There are two basketball courts
  2. Six players max allowed on each court.
  3. Basketballs are only permitted.
  4. Residents have use of one court for a period of 90 minutes. If no one is waiting to use a court, play may continue.

In conclusion all residents, guests and their family members are expected to conduct themselves in a well-mannered and respectful fashion, and to treat all other family members and residents in the same courteous manner. We encourage you to schedule your workout or reserve your games by using the condo control central amenity booking option. This will ensure that there is available space for you to enjoy your workout or

Tennis Court Redevelopment

Southampton Green's Tennis area will be undergoing redevelopment this year.

Continued Projects 2019

LED Lighting

To reduce costs on the power consumption at Southampton, the board installed LED lighting throughout the property. On the lower levels, we installed motion sensor lighting that activates when the sun goes down. On the upper levels we installed a new standard LED light. The corporation also install LED lighting throughout the common hallways. In the months that followed, Southampton saw a significant decrease in power usage, between $1000-$1500 a month. Moving forward through 2020, we are hoping to see the same decreases and hope to save at least $10,000 for the year.

New Doors

Southampton Green upgraded the building's entry doors and frames to the last existing green doored buildings.

Entry Stairs

The board looked at different options for our entry stairs, and at this time decided to fix what we have to extend use out another 5 years. We will keep an eye on the performance of this fix, and if necessary replace.

GYM

A new treadmill was purchased in 2019, and this year the board has agreed to buy one more to replace the aging Precor.

Playground

The board chose to replace the aging playground equipment in 2019. This will hopefully be a series of upgrades to the common property. The board is looking at the tennis courts and wanted to do something about this in 2021.

Landscaping

In 2019 the board landscaped part of the front of building 2-3 with some larger feature rocks and smaller rock around it. We used rock as the pine trees in this area stop grass from growing.

In other areas of the property, some older trees were removed in 2019. More will follow as trees are starting to die out.

Projects Completed 2019

Roofs

The beginning of this year saw the completion of our 2018 roof project. We now have all roofs as torch on and no tar and gravel roofs exist. We also have new roof hatches that will aid in a safer and easier access for plumbers and other contractors.

Gas Prices

This year our 4 year contract on gas came due. The board decided to go back to index pricing since index was lower than our previous contract. However, the province had increased the tax on gas usage through their environment program, so any offset in pricing that we believed we were going to get, didn’t happen. If gas prices go up significantly over and above the tax, we may have to go back to a contract price.
